RATES - Find Your First AI Automation Wins

RATES is a simple five-factor scoring framework for deciding which of your regular tasks are ripe for AI automation. Score each task from 0 to 2 on every factor, add them up, and the highest scores point you at where to start.

  • R - Repetitive: you find yourself doing it again and again
  • A - Annoying: you'd rather put it off than start it
  • T - Time-consuming: it eats hours out of your day
  • E - Error-prone: mistakes cost more than the work itself
  • S - Scalable: doing it more often multiplies the benefit

When to use: At the start of any AI rollout, when you need to decide where to point your first experiments. Download the worksheet and work through your tasks with the team.

HumanSpark Data Privacy Matrix

The Data Privacy Matrix helps you decide what data you can safely put into AI systems. It groups AI tools by their privacy characteristics and classifies data types by sensitivity, so you can make informed decisions and stay compliant with GDPR, HIPAA, and internal company policy.

  • Protect sensitive information: avoid sharing confidential data by accident
  • Stay compliant: align your AI use with GDPR, HIPAA, and your own policies
  • Use AI responsibly: build a shared standard across the team for what goes into which tool

When to use: Any time you or your team are about to put data into an AI system - especially anything client-confidential, regulated, or commercially sensitive.

GOAL - A Framework for Writing Better AI Prompts

The GOAL framework helps you get useful, accurate responses from AI language models like ChatGPT, Claude, and Gemini. It's a short structure for making your prompts clear and your outputs reliable.

  • G - Goal: define what you want the AI to produce
  • O - Output: specify the format, length, and style you want back
  • A - Additional context: give background, examples, and constraints
  • L - Look at the output: review what you got and iterate

When to use: Any time you find yourself copy-pasting half-baked prompts into ChatGPT and getting half-baked answers back. GOAL takes about 30 seconds and changes the result completely.

HumanSpark AI Maturity Model

The AI Maturity Model helps you understand where your organisation sits today and what the next step looks like. It sets out five levels of AI integration - from initial awareness through to industry leadership - with clear milestones and practical next steps for each one.
