Starting Small with AI

AI is complex enough, so I want to try and boil down the basics of how a business like yours can use AI tools like ChatGPT, Claude, Copilot and Gemini.

I’ve created a very simple framework to help you integrate AI, no matter your company’s size or tech know-how. We’ll look at different levels of AI adoption, from basic to advanced, to help you find what works for your business goals and resources.

I’m calling these “AI tools” for simplicity, but remember that large language models (LLMs) aren’t the only type of AI tool out there – there are many other powerful AI tools, and more developing daily.

LLM Use Levels in Business

Level Name Description
Level 0: No AI Your team doesn’t use AI tools at work.
Level 1: Bring Your Own AI Your team sometimes uses their own AI tools (free or personal subscriptions) for work.
Level 2: Basic Commercial AI Your team has access to basic commercial AI models like paid ChatGPT, Gemini, or Copilot.
Level 3: Advanced Commercial AI Your team has access to more advanced AI models, including customizable options like Custom GPTs.
Level 4: Secure Private AI Your team has access to secure, private instances of tuned Large Language Models (LLMs) trained on company data.

Level 0: No AI

What it is: Your team doesn’t use any AI tools in their work.
Pros:

  • No extra costs or training needed
  • Your current workflows stay the same

Cons:

  • You’re missing out on AI-driven efficiency and innovation
  • You might fall behind competitors in the long run

Best for: No one, really. You’re missing out.

Pro Tip: Even at this level, start teaching your team about AI to prepare for future use.

Level 1: Bring Your Own AI

What it is: Your team uses personal AI tools, like free ChatGPT or Google Bard, for work tasks.
Pros:

  • Your team can experiment with AI
  • No cost to the company
  • Your team learns AI organically

Cons:

  • Inconsistent use across your business
  • Potential data security risks
  • No standard way of using AI

Best for: Startups and SMEs wanting to try AI without big investment.

Pro Tip: Get your team to share their AI learnings with each other.

Level 2: Basic Commercial AI

What it is: You provide access to basic commercial AI models like paid ChatGPT, Gemini, or Copilot for everyone.
Pros:

  • Better productivity across your business
  • Everyone uses the same tools
  • Safer than free tools
  • More features to use

Cons:

  • You’ll pay for subscriptions
  • You need to train your team
  • Some people might not like using AI

Best for: Medium to large businesses ready to commit to AI.

Pro Tip: Create clear guidelines and train your team to use AI effectively.

Level 3: Advanced Commercial AI

What it is: Your team uses more advanced AI models, including customizable options like Custom GPTs.
Pros:

  • Higher productivity with AI tailored to your needs
  • AI fits better with your specific workflows
  • Potential for unique advantages over competitors

Cons:

  • Costs more for advanced tools
  • More complex training needed
  • You need a dedicated AI strategy

Best for: Large companies and tech-focused businesses looking to get ahead with AI.

Pro Tip: Start with one department to learn before rolling out company-wide.

Level 4: Secure Private AI

What it is: You have secure, private AI models trained on your company data.
Pros:

  • Maximum productivity and customization
  • Highest level of data security
  • AI perfectly aligned with your business

Cons:

  • Very expensive to develop and maintain
  • You need serious technical expertise
  • Ongoing data and model updates required

Best for: Big corporations, especially in sensitive industries like finance or healthcare, or companies where AI is central to their product.

Pro Tip: Work with AI experts to ensure successful development and deployment.

Choosing Your AI Path

When deciding how to use AI, think about:

  1. Your business goals: Make sure AI fits with what you’re trying to achieve.
  2. Your budget: Consider both immediate costs and long-term benefits.
  3. Your team’s skills: Assess if your team can handle the AI tools you’re considering.
  4. Data sensitivity: Higher levels of AI use offer better security for sensitive data.
  5. Industry rules: Make sure your AI use follows any regulations in your industry.

Best Ways to Use AI

No matter which level you choose, keep these tips in mind:

  1. Start small, grow smart: Begin with simple AI and work up to advanced tools as you need them.
  2. Train your team: Make sure everyone knows how to use AI tools properly.
  3. Set clear rules: Create policies for AI use to keep things consistent and secure.
  4. Keep an eye on things: Regularly check how AI is affecting your business and adjust as needed.
  5. Stay informed: Keep up with AI news to spot new opportunities for your business.
