Beige Coffee Lid Issue From: info@ecopulpsupply.tld To: aisling.flynn@ekoleaves.tld Cc: niamh.doyle@ekoleaves.tld Date: 29/07/2024 15:15 Subject: Re: Urgent: Beige Lid Issue - Line 3 - Follow Up Dear Aisling, Thank you for your email about the colour inconsistency with batch XYZ123. We're investigating with our production & QC teams. We are aware of a minor variation in this batch due to slight differences in raw materials. This shouldn't impact functionality or compostability. We're reviewing our QC procedures to prevent this happening again. Sorry for the inconvenience. We'll update you within 24hrs after completing our investigation. - John John McHugh Head of Operations EcoPulp Supply From: aisling.flynn@ekoleaves.tld To: niamh.doyle@ekoleaves.tld Date: 29/07/2024 10:30 Subject: Re: Urgent: Beige Lid Issue - Line 3 - Follow Up Okay, Niamh, will do. Email drafted to John at EcoPulp w/ photos, batch code and QC report. Sending now. Will also contact BioFibers Ireland for their input. Will update when I hear back. -A From: niamh.doyle@ekoleaves.tld To: aisling.flynn@ekoleaves.tld Date: 29/07/2024 09:10 Subject: Re: Urgent: Beige Lid Issue - Line 3 - Follow Up Aisling, Thanks for the thorough investigation and for sending over the photos. I've reviewed them and completely agree with your assessment - those lids are definitely not right. The colour variation is much more significant than I initially thought from the verbal description. Given the obvious inconsistency, I don't think we have any choice but to quarantine and dispose of the entire batch. They're absolutely not shippable to customers. Regarding next steps, please: Contact EcoPulp directly - forward John Mchugh the photos you took, along with the batch code and your QC report. Ask specifically if they've had any similar colour inconsistency issues reported with other clients using that same batch of pulp. Be polite but firm that this is causing significant production issues for us. Also reach out to BioFibers Ireland (our usual supplier). Even though they didn't supply this batch, I'd like to keep them in the loop and potentially get their expert opinion on what might be causing these raw material colour stability issues. This needs to be resolved quickly as it's impacting our production schedule. Let's make sure we document everything properly for our quality management system too. Keep me posted on responses from both suppliers. Thanks, Niamh Niamh Doyle Head of Operations & Production Ekoleaves Packaging Ltd. We did a thorough check of the quarantined batch. Confirmed - colour inconsistency throughout the entire Friday morning batch. Raw material batch code matches the EcoPulp supply we used temporarily. That’s likely root cause. Photos attached showing difference vs normal lids. Next steps? Bin them? Contact EcoPulp? Let me know what you think. Aisling Flynn Quality Control Manager

For production data - AI could help with auto creating tables/charts from logs. Would save tons of manual work. Maybe look at PowerBI or Excel PowerQuery for data viz? Data security is paramount, so GDPR compliant tools only. I looked at finance data options - Tableau and PowerBI have AI features for insights, but not specific to ISO 9001. Could still save time on data analysis for 'Management Review'. Doc Control sounds good for test pilot. Astrid From: aisling.flynn@ekoleaves.tld To: aoife.murphy@ekoleaves.tld; astrid.nielsen@ekoleaves.tld; liam.murphy@ekoleaves.tld; niamh.doyle@ekoleaves.tld Date: 31/07/2024 16:45 Subject: ISO 9001 Report - AI Pilot Research - Initial Findings Hi Team, As discussed in our meeting earlier this week, I've completed some initial research into AI tools for compliance report drafting, specifically for ISO 9001. Here's what I've found so far: AI Tools Available: I've looked at both general-purpose tools (ChatGPT, Bard) and business-specific platforms. Some claim to be designed for compliance documentation, though I haven't found any specifically tailored to ISO 9001 yet. There are several that focus on broader regulatory compliance that might be adaptable. Drafting Potential: These tools seem genuinely capable of generating initial drafts based on prompts and input documents. We could potentially feed our existing QMS manual and policy documents into them to generate first drafts of the Document Control and Resource Management Overview sections. Data Security Considerations: This is my biggest concern. We would need to carefully review terms of service and data privacy policies. Some tools offer enterprise-level security while others are more basic. We absolutely need to avoid feeding sensitive internal data into publicly accessible platforms. Learning Curve: Using these effectively requires learning "prompt engineering" – crafting effective prompts to get useful outputs. It might take some time to master but could save significant time down the line. Human Review: I can't stress this enough – AI-generated drafts would REQUIRE thorough human review for accuracy, completeness, and compliance. The AI would be an assistant, not a replacement for our expertise. Next steps: I recommend we focus on 2-3 specific AI tools with strong security features For the pilot, we could try generating a draft of the "Document Control" section using our existing documentation We should compare the AI-generated draft to our existing documentation to assess quality and time savings Any thoughts on specific tools you'd like me to explore further? Internal Phone Call Transcript - Ekoleaves Packaging Ltd. Date: 2024-07-26 Time: 09:00 AM Call between: Aoife Murphy (Managing Director) and Sarah Byrne (Sales Representative) (Phone Ringing) Sarah: Sarah Byrne, Sales. Aoife: Sarah, it’s Aoife. You got a sec? Sarah: Morning Aoife! Yeah, sure, just catching up on emails. What’s up? Aoife: Just wanted to quickly check in about your meeting with GreenGrocers Ltd. next week. Tuesday morning, isn’t it? Sarah: Yep, Tuesday 10 AM at their place. Looking forward to it actually. Aoife: Good stuff. Just wanted to make sure you’re feeling prepped and clear on everything. We talked about them last week, didn’t we? Sarah: Yeah, we did. GreenGrocers – biggish chain of supermarkets, focusing on organic and local produce, right across Leinster mainly? Very eco-conscious image. Aoife: Exactly. And they’re looking at overhauling their in-store packaging, specifically for their fruit and veg sections, and also for their deli counters, if I remember right? Sarah: That’s the brief. They’re pretty keen to ditch the plastic wherever possible. Want to go full-on sustainable packaging, compostable, plant-based, that kind of thing. Really walk the walk on their green image. Aoife: Spot on. So, our plant-based films and the molded fiber trays should be right up their street. And maybe even showcase some of the compostable deli containers. Sarah: Definitely planning to highlight those. I was thinking of taking samples of the plant-based wraps, the sugarcane pulp trays, and maybe those new clear compostable deli containers we got in last month? The ones from BioClear? Aoife: Perfect selection. The BioClear deli containers are a good shout – they look really premium and show off the food nicely, while still being fully compostable. Remember they are a bit pricier though, so just be mindful of that when you’re talking pricing. Focus on the value, the sustainability angle, the brand image benefits for them. Sarah: Gotcha. Value selling, not just price. Definitely. And I was also going to touch on our local Irish supplier angle, and the reduced transport emissions, you know, play up the local and sustainable sourcing story. Aoife: Excellent. That resonates really well with businesses like GreenGrocers. They’re all about local and ethical sourcing themselves. Anything else you’re planning to cover? Sarah: Just going to really listen to their specific needs, understand their volumes, their current packaging challenges, and then tailor our pitch to their exact requirements. No hard sell, more of a consultative approach. Aoife: Sounds like a great approach, Sarah. Just be confident, highlight our strengths – quality, sustainability, local production – and really focus on how we can help them achieve their goals. And remember to ask about timelines and decision-making processes. Sarah: Will do, Aoife. Feeling good about it. Thanks for the check-in, always helpful to run through it again. Aoife: No problem at all, Sarah. Just want to set you up for success. Let me know how it goes after the meeting, yeah? Good luck! Sarah: Will do! Thanks Aoife. Chat later.
In-Person Weekly Team Meeting Transcript - Ekoleaves Packaging Ltd. Date: 2024-07-26 Time: 11:00 AM Location: Small meeting room near the Production Floor Attendees: Niamh Doyle (Head of Operations & Production) Liam Murphy (Production Supervisor) Aisling Flynn (Quality Control) (Niamh, Liam, and Aisling are sitting around a small table. Niamh has a notebook and pen, and a half-empty coffee cup. Liam is scrolling through something on his phone, occasionally glancing up, Aisling has a small notepad, pen, and a couple of actual coffee cup lids in front of her.) Niamh: Right, morning everyone. Grab a seat. Sorry I’m a bit late, had a quick fire drill with Rory from Finance about the quarterly budget projections – joy of joys. Anyway, weekly catch-up. Liam, production overview first? How’s the week been from your end? Liam: Morning Niamh, Aisling. Yeah, overall, touch wood, mostly okay. We had that EcoSupplies delivery thing on Wednesday, the plant-based film delay, but yeah, as we said earlier, that actually sorted itself out mid-morning in the end. Bit of a flap for a while there, but we recovered. Thanks for chasing them up, Niamh, by the way, probably helped. Niamh: No problem, just a quick nudge. Glad it got sorted. Anything else on the production front? Any machine gremlins, staff issues, material shortages, the usual fun and games? Liam: Just that minor sensor thing on Line 2 Tuesday morning, like I said, Ciara fixed it pretty quick. Oh, and… actually, thinking about materials… we did have a slightly lower yield than expected on the molded fibre trays yesterday, the bigger size ones for the fruit and veg. Line 4. Not massively significant, but maybe worth keeping an eye on? Waste percentage was up a bit. Niamh: Molded fibre trays, Line 4, lower yield. Okay, noted. Any idea why, Liam? Machine settings off? Material issue? Operator training? Liam: Couldn’t put my finger on it exactly. Spoke to Declan who was on Line 4 yesterday afternoon, he said machine was running as usual, settings were standard. Material batch seemed okay, visually anyway. Could be just a slight variation in the fibre consistency maybe? Sometimes you get that, natural materials, you know. Niamh: Yeah, true, natural variations. Okay, let’s just monitor Line 4 yield for the next couple of days, see if it’s a pattern or just a one-off blip. If it keeps happening, we’ll need to dig deeper. Make a note, Liam, to track Line 4 yield specifically for the molded fibre trays. Liam: Will do, yeah. Put it on my list. Anything else production-wise… nope, that’s about it from my end. Oh wait, nearly forgot! Did you see that article in the Irish Times this morning? About that new sustainable packaging startup down in Cork? “BioWrap Innovations” or something? Niamh: Irish Times… BioWrap Innovations… vaguely ringing a bell. What about them? Are they direct competitors? Should we be worried? Liam: Nah, not worried worried, more… just interesting. They’re focusing on seaweed-based packaging films apparently. Proper cutting-edge stuff. Read they’ve just got some big EU grant for R&D. Sounds pretty impressive, actually. Seaweed packaging… who’d have thought? Niamh: Seaweed… interesting. Sustainable alright, if it’s done right. But seaweed, for films? Is it actually… you know… practical? Durable enough? Waterproof? Food-safe? Liam: Article made it sound like they’ve cracked it. Apparently, it’s biodegradable, compostable, and has good barrier properties. They’re aiming at food packaging and… get this… even agricultural films, for wrapping silage and stuff. Niamh: Silage wrap from seaweed? Wow. That is innovative. Still sounds a bit… out there, though, doesn’t it? Like, seaweed… slippery, smells a bit fishy… Liam: Ha! Yeah, maybe not the best marketing angle – “Packaged in genuine Irish seaweed, may smell faintly of the sea!” But seriously, if they’ve actually made it work, could be a game-changer, right? Especially for films. We’re still relying on plant-based starches mostly, aren’t we, which have their own limitations. Niamh: True, plant-based films are good, but not perfect. Moisture barrier can be an issue, sometimes tear strength. Seaweed… hmm. We should definitely keep an eye on this BioWrap Innovations crowd. Grainne in marketing should maybe do a bit of competitor analysis, see what they’re really up to. Seaweed packaging… right, noted. Thanks for flagging that, Liam. Right, back to our less exotic packaging materials for now. Aisling, QC update? How’s things been from your end? Anything to report? Aisling: Morning Niamh, Liam. Yeah, QC’s been… mostly routine this week, thankfully. Standard checks, batch testing, nothing major flagged… except… you know those coffee cup lids we were talking about yesterday? The beige-y ones? Niamh: Oh yeah, the patchy colour lids. Don’t tell me they’ve multiplied and escaped quarantine? Aisling: Ha! No, thankfully still safely quarantined. But… I’ve been doing a bit more digging into them. And… well, I’ve got some samples here, actually. (Aisling gestures to the lids in front of her) Take a look. See what you think. (Aisling pushes the lids across the table towards Niamh and Liam. Niamh picks one up, examines it closely. Liam leans in to look.) Niamh: Okay, yeah, I see what you mean. Definitely not the usual kraft brown. This is… paler alright. Almost… clay-coloured? Weird. And you said it’s patchy? Is it consistently beige-y, or are there variations within each lid as well? Aisling: It’s a bit of both actually. Some lids are consistently this paler colour, all over. But then others… (Aisling picks up another lid) …see this one here? It’s got streaks of the normal brown, mixed in with the beige-y bits. It’s… marbled almost, in a really unappealing way. Not a nice marbled effect, more like… badly mixed paint. Liam: Yeah, I see it now. That’s… not good, is it? Looks a bit… cheap and nasty, to be honest. Not exactly premium sustainable packaging, is it? Niamh: Definitely not the image we want to project. Especially for coffee cup lids, they’re so visible to the customer. Right, Aisling, you said you’ve been digging into it. What have you found? Any clues what might be causing this colour issue? Aisling: Well, I checked the batch records for the raw material for that production run. The plant fibre pulp. And… it’s from a slightly different supplier than usual. We had to switch supplier temporarily last month, remember? Because our usual guys, BioFibers Ireland, had that maintenance shutdown for a week? Niamh: Ah, right, vaguely remember that. We had to use… EcoPulp Supplies as a backup, wasn’t it? Just for a short period. Aisling: Exactly, EcoPulp. And this dodgy batch of lids… the raw material for them came from EcoPulp. Not our usual BioFibers stuff. Niamh: Hmm, EcoPulp… could be the culprit then. Maybe their plant fibre pulp is just… different quality? Less consistent colour? Or maybe they’ve changed their processing methods or something? Liam: Could be. Or maybe just a one-off bad batch from EcoPulp? Could happen to anyone, I suppose. Even BioFibers might have a bad day occasionally. Aisling: True, could be just a bad batch. But… I also checked our historical QC data. Just for coffee cup lids, over the last year. And… we’ve never had a colour consistency issue like this before. Not even minor variations. Always been spot-on kraft brown, batch after batch. And we’ve always been using BioFibers pulp for the lids, as standard. Niamh: Okay, that’s… interesting. And slightly concerning. So, consistent colour with BioFibers, new supplier EcoPulp, and suddenly patchy beige lids. Correlation doesn’t equal causation, but… it’s looking pretty suspicious, isn’t it? Aisling: Definitely looking like EcoPulp raw material is the prime suspect. Maybe their pulp is just… inherently less colour-stable? Or maybe their processing is different, and it affects the pigment or something? I’m not a material scientist, but… something’s different with their stuff, for sure. Niamh: Right. Okay, Aisling, good detective work. Thanks for digging into that. So, next steps. First thing, we need to stop using the EcoPulp raw material for the coffee cup lids, obviously. Liam, can you make sure production are aware of that? No more EcoPulp for Line 3 lids. Use… whatever our usual stock is, BioFibers pulp, right? Liam: Yep, BioFibers is our standard for lids. EcoPulp was just temporary. Easy enough to switch back, we’ve got plenty of BioFibers pulp in stock for lids. I’ll tell the team, no problem. Niamh: Good. And then… Aisling, can you formally document this QC issue, with all the details, photos, batch numbers, supplier info, everything. Proper QC report. We’ll need to send that to procurement, and also… I think… we need to contact EcoPulp directly. And also BioFibers, our usual supplier, just to keep them in the loop and maybe… get their expert opinion on this? Aisling: Yeah, I can do a full QC report, no problem. Photos are already taken. Batch numbers are all logged. Supplier details I can pull from the system. And yeah, contacting EcoPulp and BioFibers… makes sense. See what they say. Niamh: Excellent. Let’s get that ball rolling then. Aisling, get that QC report to me by… end of play today if possible? And then I’ll forward it to procurement and draft emails to EcoPulp and BioFibers first thing tomorrow morning. This colour consistency thing… it’s not a functional issue, the lids still work as lids, but… it’s a brand image thing, and quality perception. We can’t let dodgy-looking lids go out to customers. Especially not for Ekoleaves Packaging. We pride ourselves on quality and sustainability, both. Liam: Totally agree. Dodgy lids are a bad look. Bin ‘em. Niamh: Right, bin ‘em it is. So, lids – action plan in place. Anything else pressing, either of you? Before we wrap up this… slightly longer than usual… weekly catch-up? Liam: Nope, nothing else major from my end. Just the usual… day-to-day. Oh, actually, just remembered… Sarah’s sales presentation for GreenGrocers is next Tuesday, isn’t it? Are we all prepped for that? Samples ready to go? Marketing materials sorted? Niamh: GreenGrocers presentation next Tuesday, yeah. Good point, Liam. Marketing materials… Grainne is on top of that, I believe. Samples… Aisling, are we good for samples of the plant-based films and molded fibre trays for Sarah? For GreenGrocers? Aisling: Yeah, samples are all prepped and ready. Sarah collected them yesterday afternoon actually, from QC. Big box of samples, all labelled and good to go. So, samples are sorted. Niamh: Perfect. Marketing materials sorted. Samples sorted. Sarah’s prepped. Sounds like we’re good to go for GreenGrocers then. Excellent teamwork, everyone. Right, anything genuinely else? No? Okay, let’s crack on then. Thanks both. Let’s get those lids sorted and Aisling, get that QC report over to me when you can. Liam: Cheers Niamh.
Zoom Sales Call Transcript - Ekoleaves Packaging Ltd. & GreenFoods Ltd. Date: 2024-07-27 Time: 11:00 AM Platform: Zoom Call Purpose: Initial Sales Meeting - Introduction of Ekoleaves Packaging Attendees: Sarah Byrne (Sales Representative, Ekoleaves Packaging Ltd.) David Miller (Sustainability Manager, GreenFoods Ltd.) (Zoom meeting starts. Sarah and David are both visible in their video windows. Sarah is in a slightly less polished office setting, David's background is a generic office with a plant.) Sarah: Hi… David? Is it David? Morning, um, thanks for joining. Can you hear me okay? Sorry, just checking. David: (Slight pause) Yes, hello Sarah. David Miller, yeah. Good morning. Yes, I can hear you fine. Can you hear me? Sarah: Yep, perfect, audio is good. And video too… mostly. Zoom, you know… (Slight nervous laugh) Thanks again for, for agreeing to chat today. Really appreciate it. Um, before we properly get started, David, would it be alright if… if I used an AI notetaker for this call? Just to make sure I capture everything accurately, and… and I’d be happy to share the notes with you afterwards, if that’s helpful? David: (Slightly surprised) An AI notetaker? Right, okay. Um… is that… secure? Data privacy and all that? Sarah: Yes, absolutely. It’s, uh, GDPR compliant, and all data is encrypted, and… and we only use it for internal note-taking, really. Just helps me focus on the conversation, rather than scribbling notes frantically. But if you’re not comfortable with it, totally understand, we can just do it the old-fashioned way with notes. David: (Hesitates briefly) No, no, it’s… it’s fine. AI notetaker… suppose that’s the way things are going. As long as it’s secure, and you can share the notes, yeah, that’s… that’s okay. Sarah: Great, thanks David. Really appreciate it. Right, so… GreenFoods Ltd. Sustainability Manager… David Miller. (Looking slightly off-screen, maybe at her notes) Um… So, yeah, maybe you could just tell me a bit about GreenFoods, and… and what exactly you’re looking for in terms of packaging? Sorry, just trying to… to get a bit of background. David: (Slightly formal tone) Yes, of course. GreenFoods, as I mentioned in my email, we are a food producer. Ready meals, salads, healthy snacks. Sold mainly through supermarkets and convenience stores here in Ireland. Sustainability is a key priority for us. Increasingly so. Consumers, you know, are demanding more eco-friendly options. And retailers are pushing us on it too. Sarah: Definitely, yeah, everyone’s… everyone’s going greener, aren’t they? It’s… it’s important. David: Precisely. And packaging is a major area for us to improve. Currently, we use… well, standard plastic trays, plastic film, some cardboard. We are exploring options to move to more sustainable materials. Compostable, recyclable… ideally both. Across our entire product range, in the next… say, couple of years. It’s a significant undertaking. We’re at the early stages of research, really. Looking at suppliers, seeing what’s available, what’s viable. And Ekoleaves Packaging came up in our… in our research. Heard you specialize in sustainable options. Sarah: Yes, that’s… that’s exactly what we do at Ekoleaves. We’re an Irish B2B company, based just outside Dublin. Focusing on sustainable packaging for businesses, mainly in food and beverage, and manufacturing. Plant-based, bio-based, recycled, compostable… that’s our… our focus. Um… We have a… a pretty wide range, actually. Compostable food containers, takeaway boxes, molded fiber trays, plant-based films, recycled cardboard boxes… you name it, really. Trying to be a… a kind of, one-stop shop for… for eco-packaging. David: One-stop shop… right. For the ready meal trays, specifically, what materials do you offer? That’s a key area for us, those trays. Sarah: Ready meal trays… yes. For those, we mainly offer molded fiber trays. Sugarcane pulp, or bagasse, as it’s also called. It’s… it’s made from sugarcane byproduct, very renewable, compostable material. Good for the environment. We can do them in different sizes, shapes, whatever you need, really. And… and we can supply compostable film lids as well, to seal them. Keep the food fresh. David: Sugarcane pulp… compostable… good. Durability though? Ready meals, they need to be… robust. Handling, transport… freezer-safe? Ideally. Sarah: (Slight pause) Durability, yeah. Sugarcane pulp… it’s actually surprisingly strong. For… for what it is. Sturdy enough for transport, handling… chilled and ambient temperatures, no problem. Freezer-safe… (Hesitates slightly) …for short-term freezing, yes. Generally. For… for longer periods in the freezer, deep freezing… we’d… we’d recommend testing really, with your specific product. Just to be… to be sure. Different meals, different freezing conditions, you know. Samples, we can definitely send samples for you to test your freezer conditions. David: Samples, yes, testing… important. And the film lids, you mentioned compostable film lids? Material? Sarah: Film lids, yes. PLA. P-L-A. Polylactic acid. Plant-based, from corn starch or sugarcane, again. Compostable certified, EN13432. Good barrier properties, for food freshness. Um… (Slight paper rustling sound) Just… just checking my notes here… EN13432… yeah, certified. Can send you the certs, of course. After the call. Just… just confirming the exact… certification number for the film lid, actually. Will double check that and send it over in a follow-up email. Just want to be… accurate. David: Yes, certification is… critical. For consumer communication. And heat resistance? Microwave? Oven? For reheating ready meals. Sarah: Heat resistance… right. Sugarcane trays, microwave-safe, yes. For reheating. Typical microwave times, no problem. Oven-safe… (Longer pause) …not oven-safe, no. Sugarcane pulp, not designed for oven heating. For ovenable ready meals… we’d… we’d need to look at… different materials, probably. Maybe… coated cardboard? Or… or different type of molded fiber, with… enhanced heat resistance. Depends… depends how important ovenable is for you? Is that a… a major requirement? David: Microwave is… essential. Oven is… less so. Nice to have, perhaps, for some premium lines in the future. But microwave and compostable is the main focus for now. And shipping boxes? Outer packaging? Sustainable options there too? Sarah: Shipping boxes, yes! Recycled cardboard. Full range. Different sizes, strengths. Made from… high percentage of recycled content. Post-consumer recycled. Very sturdy. Reliable. Sustainable choice. Custom printing available as well. Branding, logos, whatever you need. David: Custom printing… branding is important. Minimum order quantities? MOQs? For the trays and the boxes? Sarah: MOQs… right. Sugarcane trays, standard sizes… (Sound of keyboard clicking, maybe Sarah checking a system) …around 10,000 units, minimum order for standard trays. Custom sizes, slightly higher MOQ. Shipping boxes, recycled cardboard… standard sizes, from about 500 boxes MOQ. Custom printed boxes, maybe 1000 minimum for printed. Roughly speaking. Depends on size, style, printing… Does that… does that sound… workable? Volume-wise? David: 10,000 trays… standard order… yes, potentially. We order in… significant volumes. Lead times? Delivery timescales? Sarah: Lead times… standard products, sugarcane trays, stock boxes… 2-3 weeks, typically, from order to delivery, within Ireland. Custom printed boxes, bespoke packaging… maybe 3-4 weeks. Artwork approval, printing setup, you know. We try to be… as quick as possible. Always confirm lead time at order confirmation. David: 2-3 weeks… lead time… okay. Pricing then? The… the big question. Sustainable packaging, often… more expensive. Rough idea of pricing for the sugarcane trays, compared to… plastic trays? Just a ballpark. Sarah: (Longer pause, sounds like Sarah is thinking) Pricing… yes. Sustainable packaging… can be… slightly higher unit cost, upfront. Compared to… commodity plastics. But… but the value proposition is… is different, isn’t it? Sustainability benefits, brand image, consumer appeal… For the sugarcane trays, compared to… similar plastic trays… ballpark… (Hesitates again) …maybe… 20 to 30 percent higher unit price? Rough estimate. Very rough. Depends on… volume, specs, raw material costs… Need to give you a proper quote, based on your specific needs, to give you accurate pricing. David: 20-30%… higher… yes, roughly in line with expectations. Balancing cost and… sustainability. And Ekoleaves… you’re based in Ireland? Manufacturing here? Sarah: Irish-based, yes. Dublin office, warehousing. Manufacturing… for the molded fiber trays… (Slightly quicker, less confident tone) …actually, our main manufacturing for those is… currently… in Portugal. Partner manufacturer in Portugal. For… for efficiency and scale. But… but Ekoleaves is Irish company. Sales, customer service, warehousing, distribution for Ireland… all Dublin-based. So, local support. EU manufacturing partner. Makes sense? David: Portugal… EU manufacturing… right. Local support from Ireland still… okay. Well, Sarah, this has been… informative. Initial overview. Samples, I think, next step for us. Testing the trays and lids. In our production, our chill chain, freezer… Sarah: Samples, absolutely, David. Best way to… to see how they work for you. I can prepare a sample pack. Sugarcane trays, standard sizes, PLA lids. Info sheets, certs. Just… let me know what tray size you’d prefer? Around 500ml capacity you said? David: Yes, 500ml trays, roughly. Standard single-portion size. And maybe sample shipping boxes too. Standard case size. If possible. Sarah: 500ml trays, lids, shipping boxes. Got it. Sample pack prepared, sent out early next week. Email you tracking info. Any other questions for now, David? Or… shall we… schedule a follow-up call in a couple of weeks, after you’ve had chance to test the samples? David: Follow-up call, yes, in two weeks sounds good. To discuss samples, feedback, next steps. Two weeks from today… say, 11 AM again? Sarah: 11 AM in two weeks. Perfect. I’ll… I’ll put that in the diary, send you a calendar invite. Great David, thanks again for your time. Looking forward to… to hopefully working with GreenFoods. David: Thank you Sarah. Samples appreciated. Speak in two weeks. Sarah: Great, speak then. Bye David. David: Goodbye.
Sales Call Transcript Date: 4th March, 2025 Time: 10:30 AM GMT Participants: Cian O'Connell (Sales Manager, Ekoleaves Packaging Ltd.) Sarah Bennett (Procurement Manager, GreenBite Café) Cian O'Connell: Hi Sarah, it’s Cian from Ekoleaves Packaging. Uh, hope I’m catching you at a good time? Sarah Bennett: Oh hey, Cian! Yeah, yeah, I’ve got a few minutes. How’s everything with you? Cian O'Connell: Ah, not too bad, thanks. Busy as always, you know how it is! But all good. So, I wanted to check in on our last conversation about, um, your packaging needs. I think we talked about compostable takeaway packaging—did you get a chance to go through our catalog? Sarah Bennett: Yeah, I did—well, most of it. I mean, I skimmed through the key products we’re interested in. The biodegradable coffee cups and, uh, the compostable food trays definitely caught my attention. Cian O'Connell: Oh, that’s great to hear! So, just to recap—our biodegradable coffee cups come in 8oz, 12oz, and 16oz sizes. If you’re looking at bulk orders, we do 5,000 units at €120 per 1,000 cups. And for the compostable food trays, a batch of 3,000 units would be €95 per 1,000 trays. Um, lead times are usually 5-7 business days for the cups and 4-6 business days for the trays. Sarah Bennett: Okay, okay. That sounds pretty reasonable. Um, do you guys offer any flexibility on pricing for, say, a larger order? Cian O'Connell: Yeah, absolutely! If you go above 10,000 units, we can, uh, work out a small discount. Usually, we can bring the cost down by maybe, uh, 5%, depending on the total quantity. I’d need to check with our production team, but that’s the usual range. Sarah Bennett: Okay, I see. And—sorry, I meant to ask this earlier—what’s the, um, material breakdown of the coffee cups? Some of our customers are, like, super particular about that. Cian O'Connell: Yeah, yeah, totally understandable. So, the cups are made from FSC-certified paper with a plant-based PLA lining, which makes them fully compostable. They’re certified industrially compostable to EN 13432 standards, so they break down completely in commercial composting facilities. Sarah Bennett: Ah, okay. That’s good to know—I’ll probably need to include that info in our sustainability report. Cian O'Connell: Yeah, of course! I can send over the full spec sheet if that helps? Sarah Bennett: Oh yeah, that’d be great. Cian O'Connell: No problem at all. And, uh, I think you also mentioned interest in branding? Sarah Bennett: Yeah! We’re thinking of adding our logo and maybe, like, a small sustainability message on the cups. Do you guys do custom printing? Cian O'Connell: Yes, we do! For orders over 10,000 units, we offer full-color printing. There’s a €250 setup fee, and, um, the unit price increases by €0.02 per cup for branding. But, uh, the lead time is a bit longer—more like 10-14 business days—since we need to finalize the design and go through approval before printing. Sarah Bennett: Hm, okay, okay. That’s actually not too bad. I’ll check with our marketing team to see if they have a final design ready. If we go ahead with branding, can we get, like, a sample before the full production run? Cian O'Connell: Oh yeah, absolutely. We can do a pre-production proof, which, um, lets you see exactly how the cups will look. That usually adds another 3-4 days to the timeline, just so you know. Sarah Bennett: Got it. Um, okay, so let’s start with 5,000 unbranded coffee cups and 3,000 compostable food trays for now. I’ll follow up about branding once I’ve spoken to the team. Cian O'Connell: Perfect, that sounds like a great plan. I’ll, uh, get that order processed and send over the invoice shortly. Oh, and I’ll include the spec sheet in that email too. Sarah Bennett: Awesome, thanks so much, Cian! Cian O'Connell: No problem at all, Sarah! Talk soon.
ISO Meeting ISO 9001 Compliance Report - Internal Meeting Transcript - Ekoleaves Packaging Ltd. Date: 2024-07-29 Time: 09:37 AM Location: Main Conference Room Attendees: Aoife Murphy (Managing Director) Niamh Doyle (Head of Operations & Production) Astrid Nielsen (Head of Finance) Aisling Flynn (Senior Accountant & Quality Control Manager) Liam Murphy (Production Manager) Aoife: Right, good morning everyone. Thanks for getting here promptly. We need to tackle this… this beast. The ISO 9001 recertification report. Niamh: Morning Aoife. Yeah, it’s looming alright. Feels like we just did the last one, and it’s back again. Astrid: Time flies when you’re… complying. Aisling: Tell me about it. Seems like paperwork never ends. But, yeah, we know it’s crucial. Liam: Morning all. Crucial, definitely. Keeps the big clients happy, keeps the orders coming in. Can’t argue with that. Aoife: Exactly, Liam. And it's not just about keeping clients happy, it's about maintaining our standards, our processes. It’s good for the business, fundamentally. But… …this report. It’s… substantial, isn’t it? I was just glancing through the requirements again, and it's… comprehensive, to say the least. Niamh: Substantial is an understatement, Aoife. ‘Monumental’ might be closer to the mark. Remember last time? We were all pulling late nights for weeks getting everything documented and cross-referenced. Astrid: And the data gathering… from every department. Finance, Operations, Sales… everyone had to dig out information. Felt like a full-scale audit before the actual audit. Aisling: And the detail! They want to know everything. Every process, every procedure, every control measure… down to the nth degree. It’s not just a summary, it’s the whole shebang. Liam: Yeah, production side of things, we’re talking about documenting every step of every production line, quality checks at each stage, material traceability… it’s a deep dive. Aoife: Precisely. And that’s why we need to start planning this now. Recertification audit is… what, three months away? End of October? Astrid: Roughly, yes. Early November is the deadline, for submission at least. Audit itself will be a bit later, depending on their schedule. Aoife: Right. So, three months to get this report compiled, reviewed, and finalized. We need a structured approach. Last time, we were a bit… reactive, I think it’s fair to say. This time, let’s be proactive, organized. Any initial thoughts on how we should tackle this? Niamh, from an operational perspective? Niamh: Well, operationally… we need to designate clear responsibilities, first off. Break down the report into manageable sections, assign owners to each section. Last time, it felt a bit… all hands on deck, but a bit chaotic, everyone scrambling for information at the last minute. Astrid: Agreed. Clear ownership is key. Finance section, I can take the lead on, obviously. Budgets, financial controls, risk assessments – that’s my domain. Aisling: Quality Control, I can handle the sections on quality management systems, process controls, non-conformances, corrective actions. That’s core QC territory. Liam: Production processes, SOPs, equipment maintenance, training records, material traceability – production side, I’ll coordinate that with the production supervisors and team. Aoife: Excellent, that’s a good starting point, clear ownership for key areas. So, we’re thinking… Finance, Astrid. Quality, Aisling. Production, Liam. Operations overall… Niamh, you oversee operations, so maybe you have an overarching review role for the whole report, in addition to your own operational sections? Niamh: Yeah, I can do that, Aoife. Oversee the whole thing, ensure consistency, cross-referencing, that kind of thing. Bit of a project manager role for the report itself, alongside my own operational input. Aoife: Perfect. And… myself, I’ll oversee it all from a leadership perspective, final sign-off, ensure it aligns with our overall business strategy and compliance goals. Okay, ownership structure, we’re getting there. Content wise… we need to make sure we’re hitting all the key sections required by ISO 9001. Aisling, you’re probably closest to the ISO 9001 standard itself, what are the absolute must-have sections we need to focus on? Aisling: (Opens her notepad) Right, let me just… key sections… definitely need a strong section on the Quality Management System itself – scope, policies, objectives. Then, Management Responsibility – leadership commitment, customer focus, quality policy. Resource Management – human resources, infrastructure, work environment. Product Realization – planning, design and development, purchasing, production and service provision, control of monitoring and measuring equipment. And Measurement, Analysis and Improvement – monitoring and measurement, control of nonconforming product, data analysis, continual improvement. And finally, Document Control and Record Control are critical throughout. That’s… that’s the main framework, broadly speaking. Each section has a lot of sub-sections and detail underneath, of course. Aoife: Right, that sounds… like a lot. (Slightly under her breath) Still sounds as daunting as last time. Okay, so we have the framework, we have section owners. Data collection… that’s always the time-consuming part, isn’t it? Everyone digging out their records, spreadsheets, documents… Liam: Yeah, production records alone… we’re talking about months of data. Batch traceability logs, quality check sheets, maintenance logs, training records for every operative… it’s a mountain of paperwork, or… well, mostly digital paperwork these days, but still a mountain of digital files. Astrid: Financial data is similar. Budget reports, audit trails, financial controls documentation… it all needs to be current, accurate, and readily accessible for the report. Niamh: And then collating it all, ensuring consistency in formatting, cross-referencing between sections, making it a cohesive and readable report, not just a collection of disparate documents… that’s a challenge in itself. Aoife: Exactly. The sheer volume, the detail, the need for accuracy, the time constraint… it’s all adding up to a potentially very stressful few months. Which brings me to something I was thinking about… and I wanted to get your thoughts on it. Have we considered… using AI to help with this report? Liam: AI? For the ISO 9001 report? You mean… like, ChatGPT or something? Aoife: Something along those lines, yes. AI-powered tools for document drafting, data analysis, report generation. I was reading about some companies using AI to assist with compliance reporting, and it got me thinking… could it be helpful for us, for this ISO 9001 report? Aisling: AI for compliance reports… interesting idea, Aoife. I hadn’t really considered it for something like ISO 9001. But… I can see the potential, maybe. For drafting sections, summarizing data… Astrid: From a finance perspective… data analysis could be interesting. AI to quickly analyze financial data, identify trends, highlight potential compliance issues… that could save us a lot of manual number crunching. Niamh: Operationally… drafting sections, maybe. But the devil’s in the detail with ISO 9001, isn’t it? Accuracy is paramount. Can AI really get the nuances right? Understand our specific processes and procedures accurately enough to generate report content that’s actually… compliant? Liam: Yeah, that’s my concern too, Niamh. Production processes are complex, very specific to our lines and materials. Can AI really grasp all that detail and translate it into accurate report text? Wouldn’t we end up spending more time correcting AI-generated drafts than just writing it ourselves in the first place? Aoife: Those are valid concerns, absolutely. And I’m not suggesting we just hand over the entire report creation to AI and hope for the best. More… AI as an assistant, a tool to help us, not replace us entirely. Think of it as… AI-assisted drafting. We still need human oversight, human expertise, human review and validation at every stage. But maybe AI could help us with the initial heavy lifting, the first draft of sections, the data summarization, the formatting… save us some time and effort, especially in the initial stages? Aisling: AI-assisted drafting… that sounds more… realistic, maybe. For a first draft of some of the more… boilerplate sections, perhaps? Like the QMS overview, policy statements, general process descriptions. Maybe AI could generate initial drafts based on our existing documentation, and then we refine and customize it? Astrid: Data summarization, definitely. If AI could quickly pull key financial data from our systems and summarize it for the report sections, that would be hugely helpful. Especially for the performance metrics sections, trend analysis – that’s where AI could really add value. Liam: For production data… hmm. Maybe AI could help with… formatting production data? Taking raw data from our logs and putting it into report-ready tables and charts? That’s always a bit tedious to do manually. Niamh: Formatting, data summarization… okay, I can see potential in those areas. But for the core process descriptions, SOPs, detailed procedure documentation… I’m still hesitant. Those need to be absolutely spot-on accurate, reflecting exactly what we do on the ground. AI might hallucinate details, misinterpret processes, introduce errors… compliance report errors are not a good thing. Aoife: Agreed, accuracy is paramount. And we would absolutely need rigorous human review and validation of anything AI generates, especially for the critical process descriptions. But… even if AI just helps us with, say, 20-30% of the initial drafting and formatting work, that could still free up significant time and effort for us to focus on the more critical, detail-oriented aspects, the accuracy validation, the strategic review. And maybe… it’s worth exploring, at least? Just for certain sections, as a pilot? We don’t have to commit to AI for the entire report upfront. Aisling: A pilot approach, yeah, that sounds more sensible. Maybe we could try using AI to draft, say, the ‘Document Control’ section, or the ‘Resource Management’ overview section? Sections that are more… policy-based and less process-specific, to start with? See how it goes, evaluate the output, and then decide if we want to expand AI usage to other sections? Astrid: And for finance data, we could test AI for summarizing key financial metrics for, say, the ‘Management Review’ section? See if it can pull relevant data from our financial systems and generate a summary report that we can then refine and incorporate into the main report. Liam: And for production, maybe test AI for formatting production data into tables and charts, for the ‘Production and Service Provision’ section? See if it can automate that data presentation aspect. Niamh: Okay, pilot approach, focused on specific, less critical sections initially… I’m… slightly less skeptical now. If we’re just using AI as a drafting tool, and with rigorous human oversight, it might be worth a try. But we need to be very clear about… data security, if we’re feeding confidential company data into an AI tool. And… we need to factor in the time for… learning how to use these AI tools effectively, prompting them correctly, reviewing and correcting their output. It’s not going to be a magic bullet, is it? Aoife: No, definitely not a magic bullet, Niamh. It’s a tool, like any other tool. And data security is paramount, absolutely. We’d need to use AI tools that are reputable, GDPR compliant, and ensure data encryption and confidentiality. And yes, there will be a learning curve, and time investment upfront to get it working effectively. But… if it can save us time and effort in the long run, and help us manage this huge report more efficiently, it might be worth the initial investment. So… are we… broadly agreed to explore this pilot approach? AI-assisted drafting for certain sections, with clear ownership, rigorous human review, and data security considerations? (General murmurs of agreement around the table.) Aoife: Okay, sounds like a tentative yes. Aisling, since you’re closest to the ISO 9001 standard, maybe you could do a bit of initial research into AI tools that are specifically designed for compliance reporting, or document drafting in general? See what’s out there, what’s reputable, what’s secure, what’s user-friendly. And maybe… identify a couple of sections of the report where we could realistically pilot AI-assisted drafting, as we discussed. ‘Document Control’ and ‘Resource Management overview’ sections, as initial candidates? Aisling: Yeah, I can do that, Aoife. Research AI tools, look at ‘Document Control’ and ‘Resource Management overview’ sections as pilot areas. Get back to you with some initial findings and recommendations by… say, end of the week? Aoife: Perfect, Aisling. Thank you. And Astrid, maybe you could look into AI tools for financial data analysis and summarization, specifically for compliance reporting? See if there are any tools that could help us with the ‘Management Review’ section and financial metrics. And again, initial research, recommendations by end of the week? Astrid: Yes, I can do that. AI for financial data summarization, compliance context. Look into tools, report back by Friday. Aoife: Great. Liam and Niamh, for the production and operations data, perhaps you could start thinking about… what kind of production data we have readily available, in what format, and which data points would be most relevant for the ISO 9001 report, especially for the ‘Production and Service Provision’ section. Start gathering that data, getting it organized, ready for potential AI formatting or analysis, if we decide to go that route. Liam: Production data, yeah. Start compiling that. Talk to the production supervisors, get the latest data logs, get it organized. No problem. Niamh: Operationally, I’ll start mapping out the overall report structure, assign section owners formally, set up a timeline for drafting and review, and… and factor in time for this AI pilot project, if we decide to proceed. Aoife: Excellent. So, action items agreed. Aisling and Astrid – AI tool research, recommendations by end of week. Liam and Niamh – production data compilation and report structure planning. We’ll reconvene next week, same time, to review your findings and decide on next steps for the ISO 9001 report, including whether to proceed with the AI pilot project. Does that sound like a plan? (General agreement around the table.) Aoife: Perfect. Right, let’s crack on then. Thanks everyone for your input. Hopefully, this time, we can make this ISO 9001 report process a little less… painful. And maybe, just maybe, AI can actually help us this time. (Meeting ends.)
Sales Meeting Transcript - Ekoleaves Packaging Ltd. & O'Malley's Catering Date: 2024-07-27 Time: 14:03 PM Location: Meeting room at Ekoleaves Packaging Ltd. Attendees: Aoife Murphy (Managing Director, Ekoleaves Packaging Ltd.) Michael O'Brien (Procurement Manager, O'Malley's Catering) (Aoife and Michael are seated at a meeting table. Coffee cups are present. Aoife gestures towards a sample box on the table.) Aoife: Michael, great to see you in person again. Thanks for coming out to Dublin. Hope the traffic wasn’t too bad? Michael: Aoife, always a pleasure. Traffic was surprisingly kind today, thankfully. And thanks for having me in. Always good to see what you’re up to at Ekoleaves. Aoife: We’re always happy to have you. Especially when we have something new and exciting to show you. Did you have a chance to look at the little teaser email I sent over about our new range? Michael: I did indeed. Plant-based flexible packaging films, wasn’t it? Intrigued, I must say. We’ve been really pleased with the compostable takeaway containers we’ve been getting from you, they’ve gone down a storm at events. So always keen to see what else you’re developing. Aoife: Exactly. The takeaway containers have been a success story, and we know O’Malley’s is always looking to push the sustainability boundaries further. That’s why I thought you’d be particularly interested in these new films. Take a look. Michael: Plant-based films… they look and feel… well, like film. Which is a good start! We’ve experimented with some other ‘eco-friendly’ films in the past that were… shall we say, less than robust. What are these actually made from? Aoife: These are made from a biopolymer derived from plant starch, primarily potato starch in this case, sourced from sustainable European farms. It’s blended with a bio-based plasticizer to give it the flexibility and strength you need for packaging. Fully compostable, of course, certified to EN13432, just like our containers. Michael: Potato starch… interesting. And compostable certified, excellent. But strength and barrier properties are key for us, Aoife. We use a lot of film for wrapping sandwiches, wraps, baked goods, even some of our prepared salads to keep them really fresh. How do these compare to, say, standard plastic films in terms of performance? Aoife: That’s the crucial question, isn’t it? And honestly, Michael, we’ve been really impressed with the performance in testing. These films offer very comparable strength and puncture resistance to conventional LDPE films, for most applications. They have good tear resistance, they seal well, and crucially, they have a decent oxygen barrier, which is vital for food freshness and shelf life. We’ve done extensive testing on various food types, and the results have been very promising. Michael: Oxygen barrier is critical, you’re right. We need to maintain shelf life, especially for our pre-prepared sandwiches and salads. And moisture barrier? That’s another big one for us, especially for things like bakery items, to prevent them from drying out. Aoife: Moisture barrier is also very good. These films have been designed to provide a comparable moisture barrier to standard films. They’ll keep your baked goods fresh, prevent salads from wilting, all the usual requirements. We’ve got different grades available too, depending on the specific level of barrier you need. These samples here are our standard grade, which is suitable for a wide range of food applications. But we also have a high-barrier grade for products that require extra protection. Michael: Different grades… that’s good to know. And what about… heat sealing? We use automated flow-wrap machines for a lot of our products, so heat sealing is essential for production efficiency. Aoife: Absolutely. These films are designed for heat sealing on standard flow-wrap equipment. They seal effectively at comparable temperatures and speeds to conventional films. We’ve tested them on a range of flow-wrap machines, and they run very smoothly. No major adjustments needed to existing production lines, which is a big plus for businesses looking to switch. Michael: That is a big plus, yes. Minimal disruption to production is always welcome. And… transparency? Visual appeal is important, especially for food packaging. Customers want to see what they’re buying, especially with fresh food. Aoife: Transparency is excellent. These films are crystal clear, they have a really premium look and feel. They showcase the food beautifully, no cloudiness or haziness. Visually, they are very comparable to high-clarity plastic films, but with the added benefit of being fully compostable. We can even offer printed films, if you want to incorporate your O’Malley’s branding and sustainability messaging directly onto the film. Michael: Printed films… branding is definitely something we’d consider. And compostability messaging, yes, very important for us to communicate that to our customers. What about… the feel of them? Some ‘eco’ films can feel a bit… papery, or crinkly, not very pleasant to the touch. Aoife: Take a feel for yourself, Michael. These are actually surprisingly smooth and soft to the touch. They don’t have that papery or crinkly feel that some earlier generation bio-films had. They feel very much like a high-quality, flexible plastic film. We’ve really focused on the tactile experience as well as the environmental performance. Michael: Hmm, you’re right, that’s actually… quite smooth. Not what I was expecting from a plant-based film, to be honest. Pleasantly surprised. And… cost, Aoife? Let’s get to the inevitable question. Sustainable films are often perceived as being significantly more expensive than standard plastic films. What’s the ballpark we’re looking at here? Aoife: Fair question, Michael. And yes, there is typically a premium on sustainable packaging, initially. However, for these plant-based films, we’ve worked hard to keep the cost competitive. Compared to standard LDPE films of similar gauge and performance, you’d be looking at… roughly… a 20-25% higher material cost, approximately. That’s a rough estimate, of course, and it would depend on volume, film specifications, and current raw material prices. But we believe that the value proposition – the sustainability benefits, the enhanced brand image, the appeal to eco-conscious consumers – really justifies that slightly higher cost. And we are always looking for ways to optimize production and bring costs down over time, as demand grows. Michael: 20-25% premium… that’s… manageable, I think, within our budget. Especially if the performance is as good as you say, and the consumer appeal is there. We’re definitely seeing increased demand for sustainable options from our customers. And from the retailers we supply to, they’re all pushing for greener packaging. Aoife: Exactly. And switching to these plant-based films is a very tangible, visible way for O’Malley’s to demonstrate your commitment to sustainability. It’s something you can really highlight in your marketing and communication. “Now wrapped in fully compostable plant-based film” – that’s a powerful message for today’s consumers. Michael: It is, yes, definitely. We’re already highlighting our compostable containers, this would be a logical next step to extend that to our film packaging as well. And… compostability? Same as your containers, industrial composting, EN13432 certified? Aoife: Yes, same certification, EN13432 for industrial composting. These films will break down fully in industrial composting facilities, along with food waste, within a matter of weeks. We can provide all the certification documentation, marketing materials, support you need to communicate that to your customers. Michael: Excellent. This is all sounding very promising, Aoife. I’m impressed with the samples, and the performance claims. Next steps for us, I think… testing, definitely. We’d need to run these films on our own flow-wrap lines, test them with our specific products, see how they perform in real-world production conditions, and in our supply chain. Aoife: Absolutely, Michael. Testing is crucial. We can provide you with trial rolls of the film in various widths and gauges, to suit your flow-wrap machines and product types. We can also offer technical support to help you optimize your machine settings for the new films, if needed. We want to make the transition as smooth as possible for you. Michael: Trial rolls would be fantastic, yes. We use… (Michael mentions specific film widths and gauges). Those sizes would be a good starting point for testing. And technical support is always appreciated, thank you. Aoife: Consider it done, Michael. I’ll arrange for a trial pack of films to be prepared and delivered to you next week. Along with all the technical specs, certifications, and a contact for our technical support team if you need them. And after you’ve had a chance to run some tests, perhaps we can schedule a follow-up call to discuss your findings, answer any further questions, and talk about potential order volumes and pricing? Michael: A follow-up call after testing sounds perfect. Give us a couple of weeks to run the trials, then we can reconnect and discuss next steps. That works well. Aoife: Excellent. We’re really excited about the potential of these new films, Michael, and we think they could be a fantastic fit for O’Malley’s Catering. Thank you again for coming in to learn more. Michael: Thank you Aoife. Appreciate you showing me the new range. Looking forward to testing the films. And… always good to catch up in person. Aoife: Likewise, Michael. Let me walk you back out. And we’ll be in touch next week with the trial film delivery details.
Job Interview Transcript - Ekoleaves Packaging Ltd. Date: 2024-07-28 Time: 10:00 AM Location: Meeting room at Ekoleaves Packaging Ltd. Interviewer: Grainne Walsh (Marketing Manager) Interviewee: Eamon Brady (Candidate for Marketing & Customer Relations) (Grainne is seated at one side of the meeting table. Eamon enters, smiling broadly and extending his hand for a handshake.) Eamon: Grainne, fantastic to finally meet you in person! Thanks so much for having me in today. Really excited to be here at Ekoleaves! Grainne: Eamon, please, have a seat. Thanks for coming in. It’s good to meet you too. Eamon: Absolutely! Love the offices by the way, really modern feel. And the reception area, very eco-chic, if you know what I mean! Totally on brand. Grainne: We try our best. So, Eamon Brady, is it? Eamon: That’s me! Eamon with an ‘o’, just to clarify. E-A-M-O-N. Brady, just like the Family, but hopefully I can bring even more to the table! Grainne: Right. Well, Eamon, thanks again for your application for the Marketing & Customer Relations Executive role. We had a lot of strong candidates, but your CV certainly caught our eye. So, we’re keen to chat to you a bit more about your experience and what you’re looking for. Eamon: Brilliant! Thrilled to hear that, Grainne. Honestly, when I saw this role advertised, I just knew it was perfect for me. Sustainable packaging, marketing, customer relations – it ticks all the boxes for what I’m passionate about! Seriously, I’ve been following Ekoleaves for a while now, you guys are doing amazing things! Grainne: That’s very kind of you to say, Eamon. So, looking at your CV, I see you’ve had a few roles in… various sectors? Could you maybe walk me through your career history briefly, highlighting the aspects that you feel are most relevant to this Marketing & Customer Relations position? Eamon: Absolutely! Happy to. So, career history… varied, yeah, you could say that! I like to think of myself as a bit of a… versatile individual, you know? Adaptable, quick learner, always up for a new challenge! Straight out of college, I started in… retail management, actually. Big department store, you know the type. Learned a lot about customer service there, dealing with the public, handling complaints, upselling – all that good stuff. Really honed my people skills, I’d say. Grainne: Customer service experience is definitely valuable for this role, yes. Eamon: Exactly! Then, after a couple of years in retail, I fancied a change, something a bit more… creative. So, I moved into… events management. Organizing conferences, exhibitions, corporate events. Completely different world, but again, loads of transferable skills! Project management, logistics, working to tight deadlines, client liaison, marketing events – all really useful experience. And I actually got to do a bit of social media marketing for some of the events, which I really enjoyed. Very engaging, very fast-paced! Grainne: Events management… interesting. And more recently, I see you were working in… a hospitality role? At a hotel? Eamon: Yeah, most recently, I was at the… Grandview Hotel. Reception and guest relations. Again, fantastic customer-facing role! Dealing with a huge variety of people, from all over the world. Handling bookings, enquiries, resolving issues, ensuring guest satisfaction – top-notch customer service skills honed there, definitely! And… and I even helped out with some of their online marketing, updating their social media, responding to online reviews, that kind of thing. Really got into the digital marketing side of things. Grainne: Okay, so a strong customer service background, with some exposure to social media and digital marketing in your various roles. That’s helpful to understand. In this Marketing & Customer Relations Executive role at Ekoleaves, a key focus will be on B2B marketing, specifically within the sustainable packaging sector. Are you familiar with B2B marketing principles, and have you had any experience marketing to businesses, as opposed to directly to consumers? Eamon: B2B marketing… yes, absolutely! Business to business. Totally get it. It’s… it’s about building relationships with other businesses, right? Understanding their needs, providing solutions, that kind of thing. In my events management role, I was dealing with corporate clients all the time, organizing events for businesses. So, that was definitely B2B client interaction. And in the hotel, we had corporate bookings, business travelers, dealing with company accounts – so, yeah, B2B experience there too, in a way. And marketing to businesses… well, marketing is marketing, isn’t it? Whether you’re marketing to businesses or consumers, it’s all about getting the message across, highlighting the benefits, engaging your audience. The principles are the same, I’d say. Grainne: There are some overlaps, certainly. But B2B marketing often requires a different approach, focusing on longer sales cycles, relationship building, demonstrating ROI, and targeting specific industry sectors. And in this role, industry knowledge of sustainable packaging is also quite important. Are you familiar with the sustainable packaging industry, and the specific challenges and opportunities within this sector? Eamon: Sustainable packaging… yes! Absolutely fascinated by it! Massively important sector, growing rapidly, huge potential! I’m really passionate about sustainability, personally. Recycle everything at home, you know, eco-friendly lightbulbs, reusable coffee cup – the whole shebang! And I’ve been reading a lot about sustainable packaging trends online, articles, blogs, industry news. Really interesting stuff! Plant-based materials, compostable solutions, circular economy – I’m getting my head around it all, definitely! And Ekoleaves is right at the forefront of all this, which is why I’m so keen to join you guys. Grainne: That’s good to hear about your personal interest in sustainability. In this role, you’d be involved in creating marketing content – website copy, brochures, social media posts, case studies – all focused on our sustainable packaging solutions. Could you give me an example of a marketing campaign or piece of content that you’ve created in the past, that you feel demonstrates your relevant skills? Eamon: Marketing campaigns… right. Well, in the events management role, I did do a social media campaign for a… for a tech conference we organized. Really successful campaign, actually! Increased engagement by, like, 30%, got loads more registrations through social media. Used hashtags, eye-catching visuals, ran some online competitions – really got people buzzing about the event. And in the hotel, I revamped their Instagram profile, got loads more followers, improved their online reviews score. So, yeah, definitely experience creating engaging marketing content, especially for social media. Digital marketing is my strong point, I’d say. Very creative, very results-driven! Grainne: Social media engagement and online reviews are important aspects, certainly. For this role, we also need someone who can develop more in-depth marketing materials, like case studies, white papers, and website content, targeting B2B clients and highlighting the technical specifications and benefits of our packaging solutions. Have you had experience creating that type of more technical, detailed marketing content? Eamon: Technical content… …white papers, case studies… not… not directly, no. But I’m a really fast learner! And I’m very good at research. I can pick up technical information quickly, and… and translate it into engaging content. I’m sure I could get up to speed on the technical aspects of sustainable packaging pretty quickly. And I’m a strong writer, very good communicator, excellent at explaining things clearly and concisely. So, I’m confident I could create effective technical marketing content, even if it’s a bit of a… new area for me, initially. Grainne: Okay. And finally, in terms of customer relations, this role involves interacting with existing clients, handling enquiries, providing support, and building strong, long-term relationships. Based on your previous experience, how would you describe your approach to customer relations, and what do you think are the key elements of building successful client relationships in a B2B context? Eamon: Customer relations… that’s where I really shine, Grainne! People person, through and through! Love interacting with customers, building rapport, making them feel valued and appreciated. In all my previous roles, customer service has been central. Retail, events, hospitality – it’s all about putting the customer first, going the extra mile, exceeding expectations! Building successful client relationships in B2B… it’s about trust, I’d say. Being reliable, responsive, proactive, solving their problems, being a… a trusted partner, not just a supplier. And… and being friendly and approachable, making them feel comfortable, building that personal connection. People buy from people they like, don’t they? And I’m a very likeable person, I think! Grainne: Well, Eamon, thank you for sharing all of that. It’s been very helpful to hear about your background and your approach. We have a good understanding of your experience and enthusiasm now. Do you have any questions for me about the role, or about Ekoleaves Packaging? Eamon: Questions? Um… Yeah, actually, a couple. The team culture at Ekoleaves, what’s it like? Is it very… collaborative? Fast-paced? Fun? I thrive in a positive, energetic environment! And… and what are the… the career progression opportunities within the marketing team? Is there scope to… to move up the ladder, for someone who’s really driven and ambitious? Grainne: We have a very collaborative and supportive team environment here at Ekoleaves, yes. We encourage teamwork and open communication. And in terms of career progression, we are a growing company, and we always look to promote from within where possible. For the right candidate who demonstrates strong performance and potential, there are definitely opportunities for growth and development within the marketing team, and across the wider business. Eamon: Fantastic! That’s exactly what I wanted to hear! Sounds like a really great place to work. And I really think I could bring a lot of value to Ekoleaves, Grainne. My enthusiasm, my customer focus, my… my versatility! I’m really keen to get stuck in and make a real contribution. Grainne: (Stands up, extends her hand again) Thank you again for your time today, Eamon. We really appreciate you coming in. The next step in the process is for us to review all the interviews, and we’ll be in touch with all candidates within the next week to let you know the outcome. Eamon: Great, thank you so much, Grainne! Really enjoyed meeting you, and learning more about Ekoleaves. Fingers crossed! (Shakes her hand enthusiastically again) Grainne: Thank you, Eamon. We’ll be in touch. Have a good day.

Slack Channel: #ops-team Niamh: 09:12 Morning, - check-in: Line 4 is still down, maintenance is on it but looks like it might take a few more hours. GreenBite order needs to go out today - @Tomás can we make sure that’s prioritised? PLA material should have arrived yesterday, but no sign of it yet @Sophie, can you check with the supplier? Emma: 10:47 Line 2 just stopped again looks like same issue as yesterday. This is happening too often, @Niamh can we just replace cutter instead of patching it every time? Niamh: 10:49 sure - I'll see if we can get that sorted this afternoon when Mike is in Tomás: 11:02 @Niamh Yeah, we’ll fast-track GreenBite’s order. Courier is scheduled for 4, so should be fine as long as packing gets done before 3:30. Sophie: 11:15 Update on the PLA shipment: It’s still stuck in UK due to usual Brexit holdups. 😑 New ETA is Monday now. Do we have enough stock to hold us over? Jack: 11:30 Uh, I don’t think we have enough PLA trays for the next two days if orders keep up. Any chance we can sub in the Kraft ones for some customers? Niamh: 11:40 @Jack @Sophie Can we pull a list of orders that need PLA trays and see if anyone’s okay switching to Kraft? I’ll reach out to the bigger clients directly. Emma: 12:22 Line 2 is back up! (for now…) Let’s see if it holds this time. Tomás: 12:35 Just checked warehouse levels we’ve only 1200 PLA trays left, and we need at least 2500 to cover upcoming orders. Might need to ration. Sophie: 12:42 @Niamh Just emailed the supplier to see if we can expedite part of the shipment. Will update once I hear back. Jack: 12:50 Okay, I checked the pending orders. EcoDeli and GreenBite both requested PLA specifically, but we might be able to switch The Green Spoon to Kraft. Niamh: 13:10 @Jack Can you reach out to Green Spoon and see if they’re good with switching? If so, that’ll free up about 500 PLA trays. Emma: 13:22 Also, random but… anyone else hearing a weird clicking sound from Machine #3? Feels like it’s struggling a bit. Tomás: 13:30 @Emma Yeah, I noticed that this morning. Could just be minor, but I’ll have maintenance take a look before it becomes a real issue. Sophie: 13:45 Quick update: Supplier can’t do an early release, but they suggested checking with their UK warehouse to see if we can get some stock from there. Should I follow up? Niamh: 14:00 Yes, please! If they have anything available, we’ll pay extra for express shipping. Jack: 14:12 Just got off the phone with TGS they’re good with switching to Kraft trays for this order. That frees up 500 PLA trays for other. Emma: 14:20 @Tomás Mike just looked at Machine #3 (the MAG-FFS). One of the gears is slightly misaligned, but said it’s not urgent yet. If it gets worse, we might have to stop it for an hour or two tomorrow to fix it. Sophie: 14:30 @Niamh UK warehouse has 800 PLA trays available, but they need confirmation in the next hour if we want them. Niamh: 14:35 👍👍 Confirm - we’ll take all 800 and pay for the fastest shipping option. Tomás: 14:50 Courier just picked up GreenBite’s order. On track for delivery tomorrow. Emma: 15:05 Also, heads up I just checked the production logs, and we’re running slightly behind on next week’s orders. We might need to add an extra run to catch up. Niamh: 15:07 Let’s chat about that tomorrow morning. If we need to bring in extra shift we can do that.
